Tracking a company registered with the RCS (Trade and Companies Register)

Tracking a company means you can follow all the administrative and financial events concerning a company: changes in management, modification of activity, bankruptcy, filing of annual accounts etc.
Only Infogreffe subscribers and members have access to this service.

Why should you track a company?

Tracking a company enables you to be informed of any important events in the life of the company.
In this way you can be notified of a change in management, modification of the company's activity, bankruptcy, as well as filing annual accounts with the registry office.
This information enables you to regularly keep track of a company's situation.

How to set up a tracking instance?

In order to track a company, you first need to click on one of the "Tracking" buttons, which you can find on various pages of the website. This function is always linked to a company.
After the company research, (using the corporate name or the RCS identification number) you access:
•    the list of search results, in which a "Tracking" column enables you to start tracking the selected company(ies) ;
•    and/or a company's identity sheet, on which you will find the "Track this establishment" option.
The tracking option is also offered on the Infogreffe.fr website in the "My Orders" section, at the level of each company in the order. In this way you can select domains or sub-domains to be tracked, and add the new company to your tracking portfolio.
Selecting this option opens the tracking start window, in which you will find the information that can be tracked.

Once you have selected the information to be tracked, the "Validate" button will add the new company to your "My Tracking" portfolio. You must validate for the tracking to begin: the tracking start window will then automatically close, and the tracking will be added in real-time to your portfolio. You will then be able to find it in the "Pending" status.
Your tracking will only become effective the following morning.

Updating a tracking instance (modification or deletion) can only be done at the level of the "My Tracking" portfolio.

PLEASE NOTE: the tracking instance that you are about to set up will automatically include "Preferential Rights and Collateral" without any intervention or validation by the registry office; only debtors designated by their RCS number can be tracked. Tracking instances that may have been set up for a debtor who is not identified by RCS identification number or is improperly designated, or where the address differs from that of the tracking instance, shall not be reported on as part of the tracking.
Only statements which are delivered and signed by the court clerk shall prove or disprove the existence of any inscriptions.

 

How to initiate tracking of a company after consulting a document?

In the "My Orders" section, we provide a window allowing you to set up tracking free of charge at the level of each company in your Order, using the "Tracking" link. This allows you to select the domains or sub-domains to be tracked, and to add the new company to your tracking portfolio.
 

Which companies should be tracked?

You can set up tracking instances for traders, companies, GIE's and sociétés civiles registered with the Trade and Companies Register (this includes all registry offices except Tribunaux d'Instance and Tribunaux de Grande Instance and overseas territories).

The following companies may not be tracked:
•    companies whose registration has been cancelled;
•    secondary establishments;
•    companies that have filed their articles of association but that are not yet registered with the RCS;
•   companies not electronically registered (summary files);
•    companies in judicial liquidation.

 

Which domains are tracked?

Tracking of a company may include:
All RCS modifications, including bankruptcy, or solely modifications about:
•    the legal entity (legal form, head offices, capital, date of closure of the financial year, activity, main establishment…) for a company;
•    the physical person (name, first name, address of the company, activity;
•    the legal representative, administrators, auditors;
•    any protective proceedings, receivership or insolvency proceedings (main judgements published in the RCS);
•    automatic notification by the court clerk (observations outside insolvency proceedings).

Any new information concerning the annual accounts from the date the tracking has begun, or solely:
•    filing of the accounts at the registry office. You will be notified of filing of the annual accounts by the company from the date tracking began. The filing may concern a fiscal year prior to start of the tracking or to a fiscal year subsequent to that date;
•    filing of accounts. You will be notified of filing of the company's annual accounts, and will then be able to order the company's balance sheet.

Any company deed filed at the registry office or only the following types of deed:
•    transfer of shares (for SARL, EURL, SNC and société civile) ;
•    the articles of incorporation maintained up to date;
•    any documents filed concerning a merger;
•    share transfers;
•     other documents (minutes of Ordinary General Assemblies, Extraordinary General Assemblies, Board of Directors, Management Board, etc.)

All updates concerning debt status or only those concerning:
•    Category 1: Social Security preferential rights and additional contributor schemes; Public Treasury Preferential rights, protêts.
•    Category 2: Business assets or artisan business collateral, legal or contractual, supplier's preferential rights and rescissory action, collateral on tooling, material and equipment.
•    Category 3: credit-leasing operations for securities; publishing rental contracts; publishing retention of title clauses.
•    Category 4: Collateral for société civile shares (solely for a société civile).
•    Category 5: Loans and terms (solely for companies in safeguard procedure, receivership or judicial liquidation).

Tracking duration

Tracking is not time limited. Once it is set up, you will receive automatic alerts for any event concerning the company being tracked.
Tracking will only come to an end if you decide to delete it from your "My Tracking" tracking portfolio. It can also be automatically deleted by certain events: cancellation of the company, transfer of head offices outside the registry's district, filing annual accounts (if the tracking concerns annual accounts).

 

Maximum number of companies being tracked

Tracking of companies is a feature solely reserved for Infogreffe members and subscribers.
The number of companies to be tracked will depend on your profile.

Infogreffe member
The maximum number of tracked companies is limited to 50 companies with at least one active domain. Should you desire to exceed that number, you will need to subscribe to Infogreffe. You will then be able to track as many companies as you desire, and opening a tracking instance will remain free of charge.

Infogreffe Subscriber
The maximum number of tracked companies is limited to 2,000 companies with at least one active domain. Should you desire to exceed that number, please contact Infogreffe so that we can offer a solution tailored to your needs.

In order to access this feature, we invite you to become a subscriber or become a Member.

 

Tracking pricing

Opening tracking instances is free of charge.

Only reception of the notifications will give rise to invoicing.
•    Notification detected in the RCS domain: 1,30 euro before tax.
•    Notification detected in the "Preferential Rights/Collateral" domain: 2,60 euros before tax per inscription type for all notifications falling on the same day.
•    Notification detected in the "Annual accounts" domain: 1,30 euro before tax.
•    Notification of filing of deeds: 1,30 euro before tax irrespective of the number of deeds revealed.

Please note: If several notifications are detected on the same day in the same domain, they will only be invoiced once: for example 1, 30 euros before tax for all RCS domain notifications.

 

Tracking invoicing

Infogreffe Subscriber
Each notification purchased in the month will be shown on your monthly invoice in the "Tracking" domain.
Opening a tracking instance will not be shown in your invoice.

Member
Each notification will be invoiced in real-time for payment by bank card/payment portfolio, prepaid card or provisioned account.

 

Receiving alerts by e-mail and/or SMS

When you open a tracking instance, we can send you an alert by e-mail and/or SMS. The alert will inform you that one or several events have been detected concerning one or several companies being tracked in your tracking portfolio.
E-mail alerts will be offered by default. The e-mail address used will be the e-mail address in your profile; however you can edit it.
You can uncheck this option if you do not wish to receive any alert, or you may check the optional SMS alert so as to receive a notification on your cellphone.
Please note:
•    if you wish to be alerted by e-mail, please verify that the entered address is correct and that your mailbox is not full;
•    if you wish to be alerted by SMS, please verify that the cellphone number entered is correct in order to receive alerts.

 

Your tracking portfolio (My Tracking)

Your tracking portfolio enables you to easily administer the list of tracked companies:
•    You can consult the list of tracking instances at www.infogreffe.fr.
•    You can edit or delete tracking instances at www.infogreffe.fr.
•    You can consult in detail the companies being tracked at www.infogreffe.fr; you can consult and purchase notifications.
•    You can create new tracking instances.

For each company being tracked, the following information is provided:
•    the company's corporate name and its RCS identification number;
•    the tracking domain (RCS) ;
•    tracking status:
     - active: tracking is in progress and will generate events.
     - terminated: tracking has been terminated following an automatic stop. No more events will be detected.
     - pending: tracking was initiated during the day and has not yet become active.
•    end date of the tracking and the reason for ending tracking, if the stop was automatic;
•    an icon providing an alert should there be new notifications waiting to be consulted;
•    the number of notifications to be consulted (not yet purchased); number of notifications already consulted (purchased);
•    the "Edit/Delete" link for updating the tracking.
By default, companies with active alerts will be displayed at the head of the list.

 

How to administer your tracking portfolio?

Your tracking portfolio enables you to easily administer the list of tracked companies.
You can consult the list of tracking instances at www.infogreffe.fr.
All the required information for proper tracking is displayed at this level: corporate name, RCS identification number in active alert status or not, number of notifications and their status, tracking description (domain/sub-domain tracked), tracking status of each domain, date and reason for stopping.

The list is sorted by default according to the alerts: companies for which notifications are detected during the previous months are placed at the head of the list. However you can also sort the list by corporate name (alphabetical increasing/decreasing order).

You can also filter your portfolio by selecting a status in the pop-up menu: "Active, Pending, Alert Status, Terminated". All tracking instances with a domain in this status will be displayed in the list. For each tracking status only the domain corresponding to the status will be displayed.

The red dot "Notifications to be consulted" will be displayed at company level until notifications receive confirmation of purchase, for a period of 1 month. After this period, if purchase of the notification is not validated, the alert will no longer be displayed; however the notifications will still be available to be purchased. Consulted modifications also remain available.

In certain cases, the tracking can be automatically terminated: when the company is cancelled; when head offices are transferred outside the registry district; when companies are in process of judicial liquidation.
The detection of cancellation, transfer, judicial liquidation will automatically terminate tracking. In the tracking portfolio, all the domains associated with the tracking will then display "Terminated": a cancelled company, or one that is in judicial liquidation or being transferred will no longer change; tracking thus becomes inactive.
In the event of a head office transfer, where applicable, it is up to you to open a tracking instance with the registry concerned. Following the conventional search by RCS identification number, you can start the tracking process by selecting the new head offices district using the associated products section.

Automatically terminated tracking instances will be displayed for a period of 1 month. After this period, the tracking instances and history of associated notifications will no longer be available in the tracking portfolio.

You can edit or delete tracking instances at www.infogreffe.fr.
The "Edit/Delete" displayed to the right of the company enables you to update an existing tracking instance, by editing the tracked domains/sub-domains, or by deleting the tracking instance.
Please note: tracking instances deleted using the "Delete" option will no longer be available in the tracking portfolio, and notifications detected in the unselected domains will no longer be available in the notification history.
You can create new tracking instances.

An internal search engine enables you to find new companies to track. Add a tracking instance by clicking on the "Tracking" button that corresponds to the companies you wish to track.

 

Tracking status

Tracking status changes depending on certain criteria. The status is associated with a tracked domain.
Tracking may show one of three statuses:
•    active: tracking is in progress and may generate events;
•    terminated: tracking has been terminated following an automatic stop. No more events will be detected;
•    pending: tracking was initiated during the day and has not yet become active.
When tracking is terminated, the date and reason for stopping tracking are displayed in the tracking portfolio.
A tracking instance deleted by the user will no longer be displayed in the tracking portfolio, as soon as the user validates the deletion.

 

Editing or deleting an Internet tracking instance

You are able to edit your tracking instances by:
•    adding/deleting categories (legal entity/person, administrator, office notices, PCL) for a given domain (RCS) ;
•   adding or deleting a domain.
To do this you check/uncheck the relevant boxes opposite each line.
Once the new selection has been made, you need to update the tracking instance using the "Confirm" button.
The notifications detected for the unselected domain domains will now no longer be available in the notification history.

We enable you to delete the tracking instance of a company (without having to uncheck all the boxes) using the "Delete" link opposite each company. After deletion has been confirmed, the tracking instance will no longer appear in your tracking portfolio.
The tracking instances and history of associated notifications will no longer be available in the tracking portfolio.

 

How to consult/purchase a notification

The "X notifications to consult" or "X notifications already consulted" displayed at the level of company allow you to visualise the available notifications.
All notifications are displayed starting with the most recent, for the company being tracked, and for all domains.


Notifications to be consulted
The detection date for notifications is always displayed. An "add to shopping cart" button enables you to purchase all the notifications that occurred concerning company being tracked, on the corresponding date (all domains combined).
In order to consult these notifications, you must first place your order and then perform payment. At the level of the "My Orders" section, the "Consult" link will open the window providing details of the notifications that you have just purchased. For each notification, we provide the date of notification, as well as the former and the present situations.
The notifications to be consulted are offered for purchase for a period of 2 months only.

Notifications that have been consulted
The date, the domain and the type of notification detected on the date and in the domain are displayed.
A "Consult" link enables displays the detail of the notifications (event date, former and current situation).
The notifications consulted are provided for a 5 day period only after the date of purchase. After that period, notifications already consulted are no longer offered for consultation.

 

How to order documents after consulting notifications?

In the course of consulting the list of notifications detected for each tracking instance, we provide a page for selecting available documents using the "Other available documents" button: Kbis extract, debt status…clicking the button will take you to the company's identity sheet.
You can add to your shopping cart all the official documents that you wish.
Clicking on the "Confirm the order" link will take you to your shopping cart where you can pay for your order.
Where applicable, we invite you to consult notifications corresponding to other tracking instances in your portfolio, and where applicable to order other documents.
